Under the overall guidance of the Human Resources Operations Manager (HROM) and direct supervision of the Travel Officer, the incumbent will be
responsible for the following duties:
Support the Travel Unit Assistants in the coordination of official travel related functions for all civilian and military personnel;
Assist in the preparation of Travel Authorizations (PT-8) and follow up signatures;
Assist in the planning, routing, issuance of itineraries, and airfare rates for such travel based on the least costly and most economical and direct
Prepare faxes and letters when required;
Contact airlines or travel agencies to make reservations at least expensive fares and request for issuance of tickets;
Respond to staff member's queries and assist mission personnel in obtaining the UAE, Kuwait and Afghanistan visas;
Arrange for accommodation/hotel as appropriate;
Prepare and verify invoices submitted by travel agents to ascertain that services are rendered according to the travel authorization before
processing invoices for payment;
Maintain database, filing system for invoices, note verbal to embassies, travel authorizations, status of travel documents and any other
Assist and provide general support to the Travel Unit in Kuwait and through correspondence to missions, prepare statistics on a monthly basis;
Monitor unit's attendance records, request office supplies and furniture;
Perform any other duties as assigned.
QUALIFICATIONS AND EXPERIENCE
Education: High school diploma or equivalent with a certificate/diploma in travel and tourism Management. Basic knowledge in airlines reservations
system such as confirmation of seats, understanding and interpretation air fares and airline ticketing.
Experience: Four (4) years of experience in travel management and travel administration.
Languages: A good command of written and spoken English is essential. Knowledge of Arabic is an asset.
Other Skills: Proficiency in computer software applications (MS Word, Excel, MS Office suite, Lotus Notes).
